How Exquando uses Klaro Cards to fight information chaos
Discover a customer success story and get inspired for you own Company
Exquando works in the field of information governance. The issue that Exquando aims to solve is the following:
In a world that is becoming more and more digital, with countless online software and information, and with continuous turnover of personnel, companies are confronted with ever-increasing information chaos.
To address this issue, Exquando has developed a methodology that aims to regain control over information management. Klaro is used to digitise the approach. Check out this story below.
Before Klaro
-
Exquando consultants carried out an audit of the client's Information System: its regulatory environment, information managed internally, software used, roles and responsibilities related to information management, internal committees or boards dealing with the matter, the existence of an info policy and associated procedures, information topics covered during staff onboarding, etc.
-
The results of enquiries and interviews were recorded to create a long PDF document representing a comprehensive view of the client's digital situation. The consultancy team prepared recommendations based on this document.
-
The steering committee met and discussed this document and its recommendations, then the client representatives decided on the follow-up.
-
The company's digital practices were updated accordingly.

Outdated approach
Over the last 20 years, the ways that companies deal with information have become so complex and the evolution of the digital landscape has accelerated so fast that approaching the matter with...
Audit > Recommendations > Strategic Plan
does not work anymore.
To adapt to changes, companies have evolved and gradually moved from a vertical organisation to an organisation where the entities are more autonomous and the places of decision-making have multiplied accordingly. As a result, digital transformation is happening everywhere and all the time. To deal with this situation, it was necessary to adapt the approach and transform it into:
Sense > Discuss > Evolve > Sense > ...
Working with Klaro
Using Klaro:
-
Updating is continuous; track changes are no longer made in a single overall document but instead are made on each element of the information system individually.
-
Navigating the information system is made easier; users can move between regulations/training/roles/information/etc. in a single click.
-
There is no longer a single way to display the elements of the information system – there are as many as required. For example, users can view the application portfolio by supplier, by domain, by category of application, etc.
-
The client can contribute and participate in updating the information about his InfoSystem.

Results
With the ability to organise and display the information system in many ways, Klaro helps to foster alignment. Teams are able to create common understandings of the realities and complexities of their information systems much faster than by using a PDF or text document. And better decisions can be made accordingly.
In terms of decision follow-up, there is now a way to associate single or multiple tasks to each item on the information system depending on requirements. All decisions for actions and transformation can be made via a Kanban where priorities and responsibilities can be assigned. The overall transformation of the client's information system happens in an agile way through a shared understanding of problems.
Exquando adheres to Klaro's vision where teams and individuals are more efficient in achieving their goals when they have learned simplicity, efficient communication and self-organisation.
